Job Overview

  • The company is currently seeking an Executive Assistant who will be responsible for performing diverse administrative tasks and providing support to high-level managers within their organization.
  • The duties of the Executive Assistant include managing schedules, arranging travel plans, and preparing expense reports.
  • Applicants should possess strong organizational skills, excellent time management abilities, and the capacity to work independently.
  • Ultimately, the selected candidate will play a crucial role in enhancing our business operations by offering personalized and prompt assistance to our executive team members.

Roles And Responsibility

Applicants are expected to carry out the following functions:

  • Serve as the principal point of contact between executives, staff, clients, and external partners.
  • Ensure the timely and accurate flow of information.
  • Coordinate executives’ schedules and arrange meetings.
  • Handle travel and accommodation arrangements.
  • Track daily expenses and compile regular reports (weekly, monthly, or quarterly).
  • Supervise the performance of other administrative staff.
  • Take on the responsibilities of an office manager by monitoring office supply inventory.
  • Format various forms of communication, both internal and external, such as memos, emails, presentations, and reports.
  • Record minutes during meetings.
  • Screen and direct phone calls, as well as manage correspondence distribution.
  • Organize and maintain the filing system within the office.

Job Requirements

Qualification

  • Sc / HND
  • Having a PA diploma or certification would be advantageous.

Work experience

  • Work experience as a Personal Assistant, Executive Assistant, or similar role

Knowledge

  • Excellent MS Office knowledge
  • Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)

Skills

  • Exceptional abilities in organization and time management
  • Strong skills in spoken and written communication
  • The ability to use discretion while maintaining confidentiality
